Manage file security settings

Updated over a week ago

You can strengthen security by using the file security settings to prevent files uploaded to Morningmate from being downloaded, or to allow access and downloads only from specific IP addresses. This helps protect important company files from external leakage.

📢 Note
The file security settings feature is available only for users on the Advanced Plan.

1. Access “Admin Console → File security settings”

After logging in to Morningmate, click Admin Console at the bottom left to enter the admin page, then navigate to File Security Settings.

Tip!
The Admin Console is visible only to administrators in your company.

Please note that once file security settings are enabled, external public links will no longer be available.

2. PC file download / view permission settings

You can configure file download security settings for PC environments based on your company’s needs.

1) Allow file downloads only from designated IPs

Enable the toggle (①), click “+ Add IP” (②), and register specific IP addresses (③).
Files and images can only be downloaded from the registered IPs.
From non-registered IPs, files can only be viewed via the viewer and cannot be downloaded.

Tip! How to add IPs

  • Click “Load current IP” to automatically input your current IP address.

  • Add a name/description so other admins can easily identify the IP.

2) Notes

  • If you enable “Allow downloads only from designated IPs” without adding any IPs, downloads will be blocked on all devices.

  • Certain file types (e.g., exe, ai, zip) cannot be viewed or downloaded.

    • These file types are normally downloaded automatically since they are not supported by the viewer.

    • However, if IP restrictions are enabled, both viewing and downloading of these files will be blocked.

  • This setting applies only to files uploaded by internal company members. Files uploaded by external users are not affected.

3) Restrict image/file viewer access

You can also configure viewer access permissions based on your company policy.

Tip!

These two options will appear only when the PC Access IP restriction is activated.

Allow viewing only from designated IPs
When enabled, files can only be viewed via the viewer from the registered IPs. (Not applied to mobile)

Allow viewing only for company employees
When enabled, only registered employees can view files via the viewer. (Also applies to mobile)
External users will not be able to view files.

3. Mobile permissions

You can also configure file security settings for mobile environments.

📢 Note
Mobile file/image download settings are available only for Advanced Plan.

1) Restrict image/file downloads

When enabled, files cannot be downloaded on mobile and can only be viewed via the document viewer.

2) Restrict image/file viewing

When enabled, files cannot be viewed even through the document viewer on mobile.

Tip!

These two options will appear only when the Mobile Access download restriction is activated.

3) Notes

  • Certain file types (e.g., exe, ai, zip) that require downloading for viewing will become completely inaccessible if both viewing and downloading are restricted.

  • Since these file types are not supported by the viewer, they are normally downloaded automatically. However, with IP restrictions enabled, both viewing and downloading will be blocked.

  • Mobile apps use dynamic IP addresses, so restricting file access by specific IP is not possible.

4. Manage exception users for file access

You can add exception users who are not affected by IP restrictions. These users can view and download files from anywhere (applies to both PC and mobile).

It is recommended to assign this role to employees responsible for file management or to administrators.
