▪︎ File Security Settings (Business+ only)

With the file security settings feature, you can prevent file downloads on Morningmate or limit them to specific IP addresses. You can safeguard our company's important files from external exposure.

1. Access the Admin Console page and Go to Security Settings > File Security Settings

Tip

Admin Console is a feature visible only to a company/team's Morningmate admins.

▪︎ Desktop Permissions

Configuring PC File Download/View Permissions:

You can customize the security settings for downloading files in the desktop environment to align with our company's work requirements.

1. Allow File Downloads Only from Specified IP Addresses

By adding specific IP addresses, you can enable image and file downloads only from registered IPs. For unregistered IPs, downloading is not possible, but viewing in the viewer format is allowed.

(1) How to Add an IP

  • Click '+ Add IP' to include the IP information for allowing file downloads.

  • Click 'Retrieve Current IP' to automatically populate the currently used IP address.

  • Provide a name or description for the added IP address, making it identifiable to other admins.

(2) Notes

  • Enabling the 'Allow Downloads Only from Specified IP Addresses' feature without adding separate IPs will render downloads impossible from all devices.

  • Certain file extensions (e.g., exe, ai, zip) cannot be viewed or downloaded

    > Files with specific extensions that cannot be viewed in the viewer format are automatically downloaded when clicked. Hence, enabling the 'Allow Downloads Only from Specified IP Addresses' feature restricts both downloading and viewing of these file types.

  • The 'Allow Downloads Only from Specified IP Addresses' feature applies only to images and files uploaded by members of the respective organization. It does not apply to images and files uploaded by external individuals.

2. Restrict Image/File Viewer Access

You can also set permissions for accessing image/file viewers based on company policies.

(1) Allow Viewer Access Only from Authorized IP Addresses

  • Enabling 'Allow Image and File Viewing Only from Authorized IP Addresses' in section 1-1 (IP addition) permits viewing through the viewer solely from the specified IP addresses (excluding mobile devices).

(2) Restrict Viewer Access to our company employees only

  • Activating 'Allow Image and File Viewing Only for Our Company Employees' limits viewer access to registered employees of our company (including mobile devices).

  • Once enabled, external individuals cannot view images or files through the viewer.

▪︎ Mobile Permissions

Configuring Mobile File Download/View Permissions:

You can adjust the file download security settings for mobile usage environments. If you require enhanced security beyond desktop, customize the settings according to your company's work requirements.

1. Restrict Image/File Downloads

When activated, mobile devices can only view images and files through the document viewer; downloading is not possible.


2. Restrict Image/File Viewing

When activated, mobile devices cannot view images and files through the document viewer.


(1) Notes

  • Certain file types that were previously viewable only through downloading due to the absence of document viewer support (e.g., exe, ai, zip) will become inaccessible when restricting image/file viewing and downloading.

  • Certain file types (e.g., exe, ai, zip) that cannot be viewed in the viewer format are automatically downloaded when clicked. Therefore, enabling the 'Allow Downloads Only from Specified IP Addresses' feature restricts both downloading and viewing of these files. As mobile devices use dynamic IPs, restricting file access to specific IPs is not possible in the mobile environment.

▪︎ File Exception User Management

  • By adding a file exception user, the added user can access and download files from anywhere without restrictions based on registered IPs. (Applies to both PC and mobile)

  • We recommend adding file exception users who have overall management responsibilities for file management, such as administrative staff or superadmins.
