The Unified Calendar is here! 🥳
You can now see your project events and your personal events in one place. Create calendars for any purpose, add events in a few clicks, and share your schedule with your teammates.
1. Create and subscribe to calendars
1) Open the Calendar
The first time you open Calendar from the left menu, Morningmate creates a default calendar under your name. Your default calendar can't be deleted or unsubscribed, and its name always matches the name in your profile.
To add more calendars, click+ next to My Calendar (①), or go to Calendar settings (②) at the bottom left.
In Calendar settings, choose Create new calendar (①) and click Add calendar (②).
Enter a name (①) for the calendar and click Add (②). A description is optional.
Tip!
- Calendar names and descriptions can each be up to 200 characters.
- A name is required. You can't create a calendar without one.
2) Subscribe to your teammates' calendars
Besides the calendars you create, you can find and subscribe to public calendars. Search by a teammate's name or by the name of a public calendar.
Go to Calendar settings → Subscribe to calendar (①) and search in the field (②). Click a result to subscribe right away. If you have permission to edit events or manage that calendar, it's added to My Calendar. Otherwise it's added to Other Calendars.
Tip!
- To unsubscribe, open the calendar in Calendar settings and click Unsubscribe from calendar, or click the X next to the calendar name on the main Calendar screen.
2. Calendar settings
Your calendars are split into two groups. My Calendar holds the calendars where you can edit events. Other Calendars holds the calendars you can only view.
1) My Calendar settings 🤔
Select a calendar under My calendar settings (①) to change its name and description. Teammates who subscribe to the calendar see your changes too.
Turn on Public access settings (②) to let other members find and subscribe to the calendar. You can also give specific teammates permission to view events, edit events, or manage the calendar.
Tip!
Your default calendar uses the name in your profile, so it can't be renamed.
(1) Share the calendar and set permissions
Under Sharing and permission settings, click Add staff to share (①) to give teammates access. You can change a teammate's permission any time from the dropdown next to their name (②).
In the popup, search for teammates by name (①), choose a permission (②), and click Add. You can add several people at once.
(2) Remove access
To take back access, click the X (③) next to the teammate in the shared list above.
(3) Delete a calendar
Only people with permission to manage the calendar can delete it. Deleting a calendar also removes it for everyone who subscribes to it, and it can't be restored, so please double-check before you delete.
(4) Change the calendar color
On the main Calendar screen, click More (⋮) (①) next to the calendar name and pick a color. For a color that isn't in the palette, click + (②).
Choose your color in Select calendar color and click Add (③).
2) Other calendar settings
Other Calendars are calendars you can only view. If you change the name or description of one of them, the change only applies to you. You can unsubscribe from an Other Calendar in Calendar settings, but you can't delete it.
3) Project events
You can bring events from your projects into the Unified Calendar.
① When you're added as a participant in a project event, the event shows up in your calendar.
② Click a project event to jump to it in the project.
③ Project events can't be edited or deleted from the Calendar. To change or delete one, open it in its project.
3. Add events
Click + Add event at the top right of the Calendar, or click a date on the calendar.
Tip!
- You can only save events to calendars in My Calendar.
- Other Calendars are view-only, so they don't appear in the list.
1) Event details 🤔
① Clear All day to set a start and end time. To make the event repeat, click More options.
② Add attendees by searching for a teammate's name or browsing the organization chart.
③ Choose which of your calendars the event goes in.
Just like project events, you can add a Zoom or Microsoft Teams meeting and a location. Event descriptions can be up to 4,000 characters, and you can attach files.
Tip!
- To stop a recurring event, open the event, click the edit (pencil) icon, then click the X (②) next to the repeat setting (①).
2) Event colors
Give each event its own color! Click the color chip (①) and pick a color from the palette (②) to tell events apart at a glance, even within the same calendar.
Tip!
- An event's color in a calendar under My Calendar is the same for everyone that calendar is shared with, including after you change it.
- If you didn't pick an event color when you added the event, the event follows the calendar's color. Change the calendar color and the event changes with it.
- If you picked an event color when you added the event, or changed it later, changing the calendar color won't change that event.
3) Event and title visibility
You can choose whether the event, and its title, are visible to others. This is useful when you want people to know you're busy without sharing the details.
① New events are set to Public and Show event title by default. With both on, everyone who can see the calendar sees all the event's details.
② If you set the event to Private, the title option is turned off too.
③ If the event is Public but you choose Hide event title, teammates without edit access see it as "Private event". They can only see its time, calendar and color.
Tip!
- If a calendar's Calendar view settings are set to Event view permission (Show time details only), teammates without edit access also see its events as "Private event".
4) Edit and delete events
For events in My Calendar, click edit to change the attendees, time, video meeting, location, description or attachments. If you're the only attendee, you can delete the event right away. If there are other attendees, you'll be asked whether to notify them before the event is deleted.
Tip!
If an event has other attendees and you change its time, video meeting, location, description or attachments, you'll be asked whether to send them an update before saving.
5) Ideas for using calendars 💡
(1) A team announcement calendar
① Create a calendar named for your team or purpose, for example *[Notice] Marketing Team*.
② If only an admin should post events, add just that person with Event edit permission.
③ Everyone else searches for the calendar's name in Subscribe to calendar and subscribes.
④ The calendar appears under their Other Calendars, so they can see every event.
(2) A team leave calendar
① Create a calendar named for time off, for example *Team Leave Calendar*.
② Add everyone on the team with Event edit permission.
③ The calendar appears in everyone's My Calendar, and each person can add their own time off.
4. FAQ
Q1. Can I move an event by dragging and dropping it?
Yes! If the event has other attendees, you'll be asked whether to notify them before the change is saved.
Q2. Why do I see the same event more than once?
An event you're part of can show up once for every calendar it's in. For example, say you subscribe to a public calendar, and an event on it includes both you and a teammate whose calendar you also subscribe to. That event appears three times: once in the public calendar, once in your calendar, and once in your teammate's calendar.
Q3. If I change an event's color in My Calendar, do subscribers see the new color too?
No. The new color only applies to your calendar. Subscribers see the event in the color they've set.
Q4. Can I change the color of events in Other Calendars?
No, you can't change the color of individual events in Other Calendars. Change the calendar's color instead to tell it apart.
Q5. Can I change the color of an event someone else created if I'm an attendee?
Yes! The color you choose only applies to the calendar you see. It doesn't change the original event.
Q6. How do I see the events from my existing projects?
Click + next to Project (①), select the projects you want, and click Confirm (②).
Q7. My teammate made their calendar and events public, but one event still shows as private. Why?
Please check two things:
1) Is the teammate's calendar under your Other Calendars?
2) Is the private event a project event?
If you subscribe to a teammate's calendar under Other Calendars and they're a participant in a project event, that event appears as Private event in your Unified Calendar.
Why? Some project events need to stay private, for security or for internal team reasons.
For example, Olivia subscribes to Daniel's calendar under Other Calendars (①). Daniel creates a confidential contract-signing event in a project that shouldn't be shared outside his team, and he's a participant. If the details were visible to Olivia, sensitive information could leak, so the event shows up for her as Private event (②).
Subscribing makes it easy to see your teammates' schedules. Project events that need to stay confidential are kept private, so they're never shared more widely than they should be.
We hope the Unified Calendar makes planning your week a little easier.
Morningmate will keep improving with your feedback. Thank you! 💜
