How to manage projects with no active manager

1. What is an Inactive Project?

An inactive project is a project where all participants have either been deleted or deactivated, leaving no members or only external users. In this case, these projects are difficult to manage as it does not have an internal owner.

The Inactive Project Management feature allows your company employees to enter and take over these projects, ensuring that they remain properly managed and not abandoned.

Tip!
When a project manager leaves the company for good, this feature can be used to hand over the projects that they have been managing on their own.

2. View Inactive Projects

  • Projects with zero participants or only external users are listed under the Inactive Project Management menu in the Admin Console.

  • You can view key details such as: project name, manager, number of external users, project creator, number of posts and files, and last activity date.

  • Each page of the inactive project list displays up to 30 projects, and you can select up to 30 projects at a time.

3. Search Inactive Projects

  • You can search by project name, manager, member, external user, or creator.

Tip!
Filter by “Manager/Employee/Creator” and search the name of the departed employee to view the list of projects that are left without a manager.

4. Add a Project Manager

(1) Add a manager to a single project

  1. Select the project that requires a manager.

  2. Click Add Manager on the pop-up.

  3. Select one or more employees from your company who will serve as the project manager and click Add. The selected employee(s) will be added as new project manager(s).

(2) Add a manager to multiple projects at once

  1. Select the checkboxes next to the projects that require a manager (up to 30 projects can be selected at a time).

  2. Click Add Manager.

  3. Choose one or more of your company employees and click Add. The selected employee(s) will be added as new project manager(s).

5. Notifications for Newly Added Managers

Employees who are added as new project managers will receive a notification in their Notification List, where they can be notified of the projects they’ have been newly added to.
