1. What is a "Public Link"?

With the new "Public Link" feature, you can freely share any post with anyone with the link, while restricting access to others as needed.

The best part is that now there is no need to create an account or log in to view the post content! This will hopefully make collaboration smoother and more efficient :)

Tip!

  • Project visibility can only be activated by project managers.

  • Posts can individually be shared by regular users regardless of the project's visibility settings. However, you must have permission to "view + edit posts" in that project.

2. How to Make a Project "Public"

Public links can be created for the entire project or for individual posts within the project.

Tip!

1. For All-member projects, the "public link" feature is not available because these projects are intended for internal members only and cannot be shared externally.

2. To allow anyone with the link to view the project, set the project’s "View" setting to All. Note that this configuration can only be set when creating the project and cannot be changed afterward.

A. Activate Project Visibility

1) The Public Link feature must first be enabled by the admin.
If external sharing is disabled, you will still see the Visibility Settings button in the project menu, but the feature cannot be activated.

2) Click the More (⋮) button next to the project name.

3) Select "Visibility Settings" and choose the visibility level.

→ This automatically applies to all posts within the project, which will become visible to the scope you selected. Therefore, please make sure to double-check for any confidential posts before making the project public.

Tip 1

Project "Visibility Settings" button is only available to project managers of the project.

Tip 2

When any of the following security options are turned on by the company admin, external sharing will be disabled, and the "Visibility Settings" button will not appear.

  • IP Restriction Settings

  • File Upload/Download Settings

  • Screen Capturing

  • Login Security Settings

However, there is one exception where the projects can still be public even if the Watermark Settings and AI Settings are activated.

4) Once you enable the visibility settings of the project, the project will be visible to the scope you selected. And the message will appear at the top of the project.

5) Also, all post icons will change from the 👥(person) icon to the 🔗(link) icon, making it easier to recognize that the post is shared with anyone who has the link.

B. Manage project visibility settings

1) How to change the sharing scope:

  • Go to the "Visibility Settings" again and change the scope:

    • Project participants and employees: Not only project members but any employee who is not participating in the project will also be able to view the project posts.

    • Anyone with the link: Anyone who has received the link will be able to see the entire project.

2) How to set a password: For stricter management of the project visibility, you can set a 6-digit password.

  • Click “Settings” to activate the password field, then click “Complete” to apply the change.

Tip!

The password is only visible to project managers (including in the mobile app).

3) How to copy and share a public link

  • Go to "Visibility Settings", then simply copy and share the link with anyone who needs access to the project, such as external clients or partners.

3. How to Make a Post "Public"

1) The Public Link feature must first be enabled by the admin.
If external sharing is disabled, only the two basic permission options remain, and posts will be visible only to project members, even when the link is shared.

  • Project Managers only

  • Only Project Participants

  • All other public-sharing options are blocked.

2) Click the More (⋮) button at the top-right corner of a post.

3) Select "Share Post" and set the visibility.
→ This applies only to that specific post.

Tip!

  • Posts can be shared by both project managers and regular members even when the project’s visibility permission is disabled.

  • You can share posts written by other members with external users as well.

4) Once you enable the visibility settings of the post, the post will be visible to the scope you selected. And the message will appear at the bottom of the post.

Tip!

The permission to change a post’s visibility depends on the "Edit" permissions of the project.

  • All: All project members can manage the post’s visibility settings.

  • Project Manager + Author only: Only the project manager and the original writer can manage the post’s visibility settings.

  • Author only: Only the writer of the post can manage the post’s visibility settings.

Depending on the selected scope, only authorized users can change the options:

  • Only project participants

  • Project manager only

  • Project participants and employees

  • Anyone with the link

All other users outside this permission scope will only have the following internal visibility options:

  • Only project participants

  • Project manager only


4. External Visibility Options

1) Options for "Projects"

Depending on the selected scope, the authorized users can view the project.

  • Project participants and employees: Only project participants and employees who are not participating in the project can view the post.

  • Anyone with the link: Anyone who has the link can view the post without creating an account.

2) Options for "Posts"

Depending on the selected scope, only authorized users can view the project.

  • Project participants and employees: Only project participants and employees who are not participating in the project can view the post.

  • Anyone with the link: Anyone with the link can view the post without creating an account.

  • Only project participants: All project members can view the post via the link.

  • Project manager only: Only the project managers can view the post via the link.

Tip!

  • The “Copy Link” option for a post generates the same URL as the “Share Post” button.
    You can copy the link directly from the post unless you want to change the viewer’s access scope.

5. Restrictions for Users Accessing via Public Link

Anyone with the public link can view all related posts, but there are limitations for external users who do not have a Morningmate account.

  • External viewers can only view the content of the shared project or posts. They cannot comment, react, upload content, create posts, or download files. To perform these actions, they must sign up for Morningmate and log in.

  • External viewers can have access to all project tabs within the shared project.

  • You can switch between different view modes in the Task tab, but you cannot create new ones. To create custom views with your own filter conditions, you must sign up for an account and join the project.

6. Behaviors after disabling public sharing

A. How to disable a post's visibility

Disabling external sharing on a post immediately blocks access via the link, even if the link was already shared. This feature is also useful when you want to keep certain posts private within a project that is, or has been, made public.

1) Click on the "Edit" or "Share Post" button on the post.

2) Adjust the visibility option to select the group you want to share the post with.

B. How to disable a project's visibility
If the “Project Visibility” toggle is turned OFF after it was on, all posts that were previously set to “Anyone with the link” will automatically revert to “Project Participants only.”

7. Behavior on the mobile app

The Public Link feature is available on both the web and app versions.


Any visibility settings for projects or posts that are activated through the app will also be reflected on the web version, and vice versa 🙂
